ASIAL Privacy Policy

Australian Security Industry Association Ltd (ABN 91 000 813 365) ("ASIAL") understands that ASIAL members and members of the public value their privacy and wish to have their personal information kept secure. For these reasons, ASIAL is committed to protecting your privacy and places a high priority on the security of information we hold.

Purpose of this Privacy Policy
The purpose of this Privacy Policy is to tell you what kind of information we may gather about you, how we may use that information, whether we disclose it to anyone, and the choices you have regarding our use of, and your ability to correct this information.

Acceptance of this Privacy Policy
By providing us with your personal information or entering into contracts with us, you agree to the terms of this Privacy Policy.

Collecting Personal Information
ASIAL collects personal information only if it is relevant and necessary to providing the service or product you have requested from ASIAL. We collect information from non-members who attend our events (including webinars), purchase products and who we believe might benefit from the services we provide. In general we collect and hold the following information:

  • Name;
  • Company Name/Trading Name;
  • ABN;
  • Address;
  • Email address;
  • Telephone, mobile and fax number;
  • Your membership number;
  • Security Licence number/s;
  • Other licence registration as required;
  • Insurance Policy number/s;
  • Attendances at ASIAL events and/or products purchased.

Purposes of Collection
We collect information primarily to record member information, attendance at ASIAL events and to facilitate online purchase of a product. We may also use the information to disseminate relevant industry information. This includes:

  • Electronic notices and newsletters (i.e. First Alert);
  • The ASIAL magazine (i.e. Security Insider);
  • Relevant industry updates;
  • Notifications of industry events and other products available through ASIAL;
  • Strategic Partners offers.

Access to information

The following third parties may have access to personal information:

  • Office of Fair Trading (QLD)

As an Approved Security Industry Organisation there is an obligation to supply a list of terminated members to the licensing body. This includes ASIAL Corporate Member company names, postal addresses and the prime contacts.

  • Licensing and Regulation Division - LRD (VIC Police)

Under the Private Security Act 2004, Section 26 (3), as an Approved Security Industry Organisation, ASIAL is required to keep records of Members with a licence condition who have nominated a representative to undertake activities to accrue 12 CPD (continuing professional development) points over the course of each financial year and lodge a report with LRD.

  • Access Canberra (ACT)

As an approved industry association under the Security Industry Regulation 2003 (ACT), ASIAL may be required to provide information to the licensing regulator, Access Canberra, if requested.

  • Australian Communications and Media Authority (ACMA)

As an accredited cabling registrar under the Australian Communications and Media Authority’s Cabling Provider Rules, ASIAL is required to accurately maintain a register of cablers, comply with the Australian Standard on Records Management AS ISO 15489 (including the requirements to keep registration records safe, secure and filed in a logical order) and any other applicable Australian Standards notified by the ACMA. We are also required to permanently maintain all cabling registrations under class 7747 of the ACMA Records Authority and allow the ACMA access to those records when requested.

  • Registered Organisations Commission (ROC)

ASIAL is a Registered Association of Employers under the Fair Work (Registered Organisation) Act 2009 and may provide membership information when requested by the Registered Organisations Commission, the independent regulator of Unions and Employer Associations.

  • The Australian Electoral Commission election (AEC)

In accordance with the provisions of the Fair Work (Registered Organisations) Act 2009 and the rules of the organisation (E2012/259) ASIAL is required to provide a list of current financial corporate members who are eligible to vote. The AEC conducts an independent election for Board Members and Office Bearers.

IT technicians may have access when providing on-site support although it is our practice for them to work under the supervision of one of our own staff.

We will not otherwise disclose information about you unless the disclosure:

  • is required by law;
  • is authorised by law; or
  • You have consented to our disclosing information about you.

ASIAL does not disclose personal information to overseas recipients.

Quality of Your Personal Information
We aim to ensure that your personal information is accurate, complete and up to date. To assist us in this, you need to provide true, accurate, current and complete information about yourself as requested and properly update the information given to us to keep it true, accurate, current and complete. If you believe that the information is inaccurate or incomplete, please contact us and we will use all reasonable efforts to correct the information.

Unsolicited Information
If ASIAL receives unsolicited personal information and we determine that we could not have collected the personal information from you, and the information is not contained in a Commonwealth record, we will, as soon as practicable but only if it is lawful and reasonable to do so, destroy or de-identify the information.

Accessing your Personal Information
To access the personal information we hold about you, please send a written request to us. Generally, ASIAL will try to grant access to the personal information. We may charge for giving access to the personal information.

ASIAL may refuse to give access to the personal information where for example giving access would disclose commercially sensitive information or information relating to existing or anticipated legal proceedings. If we refuse to provide you with access to personal information held about you by us, then we will provide written reasons for the refusal and advise you of available avenues of redress.

Securing Your Personal Information
We are committed to maintaining the security and confidentiality of the data you provide us and we will take all reasonable precautions to protect your personal information from unauthorised disclosure, use or alteration. ASIAL maintains appropriate security, data collection, storage and processing practices to ensure reasonable steps are taken to protect your personal information from misuse, interferences, loss authorised access, modification or disclosure. Where this information is no longer required, ASIAL will take reasonable steps to destroy or de-identify the information. ASIAL has the following security measure in place to protect your information:

  • Access to the ASIAL office (including after hours) is by authorised employees only using an access control system. It is also monitored by CCTV;
  • Our office is securely locked and alarmed after hours; and
  • All computers have password protection.

ASIAL has in place an IT Security Policy to manage data security and access. The ASIAL Data Breach Response Plan outlines the action to be taken in the event of a data breach.

Cookies
The ASIAL website also contains cookies. A cookie is a small message, similar in effect to a bookmark, given to your web browser by our website. Our website uses cookies for features such as registering a visit to the website so you do not have to re-enter personal information more than once. These cookies collect only enough information to enable website functions. ASIAL does not collect personal information for other purposes. ASIAL will not retain your personal information any longer than reasonably necessary.
If you don't want to accept cookies, you can set your browser and/or firewall to block them. You will still be able to access most ASIAL content but you may not be able to download information from the website.

Changes to this Privacy Policy
This Privacy Policy is not a static document. We may make changes to this Privacy Policy from time to time for any reason. We will publish these changes on our website. We encourage you to check our website regularly for any updates to our Privacy Policy.
